How we use personal data
Who we are
Registry Signals, . Email about anything in this notice.
If you are named on a company register
This part is for company officers and controllers, the people who own or control a company. We did not get your details from you.
- What we hold: we read your officer or controller ID, role, dates and name when we check a UK company our customers track, and we do not keep them. We keep your ID, role and date for a customer if a sanctions check finds a possible match, and while a note about a change waits to be written, plus 7 days. We keep a reference to each change, with its date, for up to 12 months. We never store your name. For other countries we use roles and dates only.
- Where it comes from: official company registers, such as Companies House in the United Kingdom.
- Why: to keep company records up to date for our customers, and to check companies against official sanctions lists. In the United Kingdom we also check their officers and controllers. Our legal basis is legitimate interests.
- Birth dates: we use the month and year of birth for the sanctions check and do not store them.
- What customers see: we never show or write your name. For UK companies, a note on the company gives the role and date of a change, with a link to the public register, where your name appears. A possible sanctions match on the card never shows a name.
- How long: while a customer tracks the company.
Asking us not to link to your register page
Email . Once we have added you, our notes link to the company's page on the register rather than yours. Your role and your date stay. Checks continue, and notes already written stay in customers' HubSpot. We keep the ID on our list for as long as the service runs, so that notes keep linking to the company's page.
Your rights
You can ask what we hold about you, ask us to correct or delete it, or object to how we use it. Email and we will reply within one month. If the register itself is wrong, the register has to correct it.
If you use Registry Signals
- What we hold: your HubSpot account details, admin email addresses for account emails, your settings, and your plan and billing status.
- Invoices: we read totals from your HubSpot invoices to show money owed. We store the last totals and no invoice lines.
- VAT numbers: for UK companies, we ask HM Revenue & Customs whether a VAT number is still registered, and keep only the result and the date.
- Training AI: we do not train AI on customer data.
When you uninstall
We delete your access tokens at once, and company data within 30 days. We keep your account, plan, field mapping and settings for 1 year so that a reinstall can resume, and then delete them. Backups expire on their normal cycle. We keep a log of the deletion for 6 years.
